Fundraising and Donor Privacy Policy

Our Commitment to Our Donors


The Steuben County Council on Aging, Inc. (COA) is a 501(c) (3) nonprofit organization. Written receipts will be issued for all donations. Written documentation of all tax deductible gifts received will be mailed to donors shortly after receiving.


The Steuben County Council on Aging, Inc., is committed to respecting the privacy of our donors. We have developed this privacy policy to ensure our donors that donor information will not be shared with any third party and to inform you of the way your information is used. We also provide you with the opportunity to remove your name from our list and to have your donation remain anonymous. We will not sell, share or trade our donors' names or personal information with any other entity, nor send mailings to our donors on behalf of other organizations.


We will list the name/name of your firm along with our other donors on our website and in printed marketing materials but will remove your name from the list at any time at your request.


The COA will use contact information (e-mail, telephone number and address) of donors only for the following purposes:


•Distribute receipts for donations

•Thank donors for their donation

•Internal analysis and record keeping

•Reporting to relevant U.S. and State agencies (these reports are not for public inspection)

•Contact donors about changes to this policy


Properly anonymized donor information is used for promotional and fundraising activities. The COA allows donors the option to have their name publicly associated with their donation unless the donor explicitly chooses to remain “anonymous”.


To the extent any donations are processed through a third-party service provider, our donors’ information will only be used for purposes necessary to process the donation. The COA does not store, nor does it have access to, your credit card information, bank account number, or other account data sent to those processing services.


All access to donor information is strictly limited to professional staff of the COA whose job requires them to process this data. No such data is given to any person, organization or group who does not need to access those data. Donor records are kept in a secure file cabinet.


The COA reserves the right to make changes or additions to this policy at any time. If those changes involve using your personally identifiable information in a manner different from the policies stated above, you will be notified by mail. Changes that do not affect use of personally identifiable information will be posted to the website.
